We are currently looking for a Office Administrator to join our busy Business Support team in our brand new Newport office. Working within our passionate team, you’ll be reporting to the Head of Department, responsible for providing excellent client service and comprehensive administrative support to memebrs of the team.
Role Responsibilities
To provide efficient and reliable administrative support to ensure the smooth day-to-day running of the Newport office. The Office Administrator will be responsible for a range of general office tasks, including document handling, data entry, filing, and coordination of office supplies and communications. The role supports the wider team by maintaining organised systems and contributing to a professional and productive working environment.
Responsibilities include, but are not limited to:
- Handling of all incoming telephone calls, including logging of calls and conveying of messages to the appropriate colleague.
- Distributing incoming post and deliveries; coordinating outgoing post and deliveries.
- Take card payments in person and over the phone in accordance with company procedure.
- Coordinating incoming faxes and emails using the firm’s IT system and undertaking typing and photocopying tasks as and when required.
- Administer filing systems, including daily filing and the opening, closing, archiving, storage and retrieval of client files, in accordance with company procedures.
- Ensure the confidentiality of all practice and client documentation and information.
- Manage stock control, including inventory for cleaning products and refreshments.
- Undertake general office tasks as needed.
- Any other reasonable administrative/secretarial duties, as required by management.

They will have sound knowledge and expertise in the field, exceptional attention to detail and the ability to communicate in a friendly, professional and confidential manner. The role will suit those with a positive and flexible approach and an ability to remain calm under pressure in order to project the image and ethos of the firm at all times.
Whilst character is important to us, we do require a certain level of experience and qualification to succeed in this role. These are:
- Previous experience in an administrative or office support role, preferably within a legal or professional services environment.
Please be aware all roles require the right to work in the United Kingdom, sponsorship of such right will not be provided. The successful candidate will also require a satisfactory DBS check.
